Recruitment and Job Applicant Data File


Data Subjects

Persons who submit job applications to Priceff or otherwise participate in Priceff’s recruitment processes, including those expressing interest in future positions (hereinafter “Applicants”).


Legal Basis for the Processing and Purpose of Use of Applicant Data

Processing of personal data (hereinafter “Applicant Data”) is based on:

  • Priceff’s legitimate interests, which include evaluating and selecting candidates for employment, and
  • Consent, in cases where the applicant voluntarily submits additional information or requests retention for future recruitment purposes.

Purposes of processing Applicant Data include:

  • Managing and evaluating applications for employment
  • Communicating with applicants
  • Conducting interviews and assessments
  • Maintaining records of recruitment processes
  • Establishing, exercising, or defending legal claims
  • With consent, retaining applications for future recruitment

Priceff does not process Applicant Data for automated decision-making or profiling.


Applicant Data Content (Data Attributes and Information)

Typical data collected may include:

Identification and contact data:

  • Name
  • Email
  • Telephone number
  • Address (if provided)

Application-related data:

  • CV/resume
  • Cover letter
  • LinkedIn profile or other portfolio links
  • Responses to form or interview questions

Recruitment process data:

  • Interview notes and communication
  • Assessment results (if applicable)
  • Stage/status in recruitment process
  • Consent records for future contact

Sources of Applicant Data

  • Directly from the applicant (e.g. application forms, emails, interviews)
  • Recruitment platforms or tools (e.g. LinkedIn, Tally.so)
  • Recruitment service providers (if used)
  • Employee referrals (if available)
  • Reference persons (if available)

Disclosures and Transfers of Applicant Data

Applicant Data is not disclosed to third parties except:

  • When required by applicable law or regulation
  • When using processors (e.g. recruitment software providers, such as Tally.so), in which case data processing agreements are in place

International Transfers:

Applicant Data may be processed by service providers located in or outside the EU/EEA. If transferred outside the EU/EEA, such transfers will only occur with appropriate safeguards under GDPR (e.g. standard contractual clauses).

Tally.so, our form provider, stores data within the European Union.


Security Principles of the Data File

Applicant Data is protected by appropriate technical and organisational security measures, including:

  • Controlled access to applicant data
  • Use of secure platforms and data encryption where applicable
  • Limiting access to authorized personnel involved in the recruitment process
  • Secure communication channels

Priceff personnel are trained in data protection and confidentiality obligations.


Rights of the Data Subject

In accordance with the GDPR, applicants have the right to:

  • Access their personal data
  • Correct or update inaccurate or incomplete data
  • Request deletion of their data (“right to be forgotten”) under applicable circumstances
  • Restrict processing in certain situations
  • Object to processing based on legitimate interest
  • Withdraw consent, if processing is based on consent
  • Lodge a complaint with the Finnish Data Protection Ombudsman

Retention Period of Applicant Data

Applicant Data will be retained:

  • For up to 6 months following the completion of the recruitment process, unless required for legal defense
  • For a longer period (max 2 years) if the applicant provides consent to be considered for future roles

Data may be retained longer only as necessary for legal claims or to comply with applicable laws.


Provision of Applicant Data

Providing personal data is voluntary. However, failure to provide necessary information may prevent Priceff from assessing or progressing the application.
